Managing Notifications, Responsible Party Settings, and Report Recipients in Safety Reports
Safety Reports provides robust features for managing notifications, responsible party settings, and report recipients. This guide outlines key functionalities and steps to configure these settings effectively.
Notification Settings and Delivery
Configuring Incident Report Notifications
To ensure a responsible party receives incident report email notifications:
Click the icon to the left of 'include' to edit the location.
In edit mode, move the applicable responsible party or parties from 'available' to 'selected.'
Click Submit to finalize the changes. This will add the selected parties as recipients for incident notifications.
Receiving Notifications for Closed Observations
When a CAT item is closed, the responsible party can send an email notification. To ensure you receive these notifications:
Navigate to Observations Admin Settings.
Enter your email in the "Account Email (default used for notifications)" field. This ensures you stay informed about observation-related updates.
App Download and Device Access
Responsible Party Access Requirements
Responsible parties do not need to download the app or have their own login to receive corrective actions. Emails are sent to the address associated with the responsible party, ensuring seamless communication without requiring app access.
Enabling the Responsible Party Field
If the Responsible Party (RP) field is greyed out in the Observations app, follow these steps:
Check Observations Admin Settings.
If the RP is set to "Inspection Companies," the field will be disabled. Change the setting to "Observation Location."
Create a location or company under Location Maintenance to select an RP for that location. Alternatively, set a Default RP in Observations Settings for automatic assignment.
Custom and Standard Checklists
Configuring Inspection Report Recipients
Inspection reports are sent to the inspector who performed the inspection and the Company Contact. To configure recipients:
Go to the Admin Portal under Company Maintenance.
Add or update the Company Contact.
Optionally, add a CC list for additional recipients. This ensures all relevant parties receive the inspection reports.
Conclusion
By following these steps, you can effectively manage notifications, responsible party settings, and report recipients in Safety Reports. These configurations ensure streamlined communication and efficient operations.
