Setting Up and Managing the Inspections Job Bank

Learn how to manually create jobs or import existing ones into the Safety Reports Job Bank to streamline your inspection reporting.

Accessing the Job Bank

To manage your jobs, you must have Admin access with the Job Bank Maint menu option enabled. If this option is not visible in your navigation, your system administrator must email support@alignops.com to request access for your company. Once access is granted, ensure your profile permissions are updated and refresh your dashboard.


How to Create a New Job

Follow these steps to manually add a job to your bank:

  1. Log in to your Safety Reports Admin page.

  2. Select Inspections from the grey navigation bar at the top of the page.

  3. Click on Job Bank Maint on the left-hand side.

  4. Select the Filters box to ensure you can see all existing jobs, including those with end dates greater than three years.

  5. Click Add New Job.

  6. Enter the Job Name, Description, and any other relevant categorization details.

  7. Set the Start Date and End Date.

    • Pro-Tip: The system defaults the start date to today and the end date to one year from today, but you can customize these to match your project timeline.

  8. Scroll to the bottom of the page and click Add Job to save.


How to Import Jobs

Note: Jobs can’t be imported from an external file into the Job Bank. Jobs need to be added directly in the Admin site under Inspections → Job Bank Maint → Import Jobs.

If you have existing jobs in user profiles that you want to centralize, use the import tool:

  1. Within the Job Bank Maint section, click the Import Jobs tab.

  2. Select a user from the User dropdown menu, then check the boxes for the specific job(s) in the grid you wish to import.

    • Note: You only need to select one instance of a job name; you do not need to select duplicates.

  3. Click the Import Selected Inspections button.


Troubleshooting

  • Jobs Missing in the App: If a user cannot see an assigned job, ensure they have synced their mobile app with the default databases.

  • Missing Menu Options: If Job Bank Maint is not appearing, verify your admin profile permissions or contact technical support.


⚠️ Important: This guide applies only to the Inspections App in Safety Reports. The steps and features described do not apply to other apps, including:

Forms App, JSA App, Observations App, Incident App, Incidents App, Safety Scan App, Training App.
