How to Understand and Add Inspections/Jobs/Audits

Understanding how to add inspections, jobs, and audits is essential for efficient workflow management. The system provides various types of inspection/job creation options tailored to different needs. Here’s an easy guide to understanding the different types of inspections and how to add them.

Types of Inspections:

  1. NEW STANDARD

    • This is for creating a completely new inspection for the first time.

    • Once created, you can perform the same inspection in the future by selecting the Repeat Existing Job option or Inspection Type.

  2. REPEAT EXISTING JOB

    • You can reuse any inspection or job you have previously created.

    • When selected, the system will pre-populate the same information with a fresh checklist, ready for you to complete the inspection.

  3. NEW PERPETUAL

    • Mostly used for sub-users.

    • Once the inspection is created and submitted, a fresh inspection will automatically generate in the sub-user's account for the next inspection at the same location.

    • This option is useful if the sub-user inspects the site repeatedly over time.

  4. NEW REOCCURRING

    • This type allows you to set up an inspection that will automatically reoccur on a daily, weekly, monthly, or yearly basis.

    • You can specify the start and end dates, as well as the days, months, and times the inspection should be performed.

    • Once the inspection is set up, it will generate according to your predefined schedule.


Steps to Create an Inspection for a Sub-User:

  1. Log in to the Admin Account
    Access the Admin portal at https://admin.safety-reports.com.

  2. Click on Inspection Maintenance
    From the menu on the left, select Inspection Maintenance.

  3. Click on the Add Inspection Tab
    Click on the Add Inspection tab to begin creating a new inspection.

  4. Select the Sub-User from the User Account
    Choose the sub-user from the list of available accounts.

  5. Choose the Inspection Type
    Select the appropriate inspection type (New Standard, Repeat Existing Job, New Perpetual, or New Reoccurring).

  6. Enter Data
    Fill in the necessary information for the inspection, including location, inspection details, and any other required fields.

  7. Optional: Notify User via Email
    If desired, you can choose to send an email notification to the sub-user by selecting "Yes" for email notification.

  8. Optional: Assign Responsible Parties
    If any responsible parties need to be assigned to the inspection, move them from the Available Responsible Parties to the Selected Responsible Parties list.

  9. Optional: Limit Categories
    If you want to limit the categories for this inspection, click on Limited under the Categories section.
    Note: If you limit the categories and use the Repeat Existing Job option in the future, the system will continue to limit the same categories.

  10. Click on Add Inspection
    After filling out the form, click Add Inspection to create the inspection.


Full Users:

Full users can also create inspections for themselves, either through the Admin account (if they have access) or via their user account on the web or mobile app.

By understanding the different types of inspections and following the steps above, you can easily create and manage inspections, jobs, and audits based on your specific needs.
