While the Safety Reports system does not host or store video files, it supports video-based training by allowing you to add video links to your toolbox talks. This guide will show you how to add a video to your toolbox talk, as well as important considerations for using this feature.

Step 1: Add the Video Link to the Toolbox Talk

To add a video to your toolbox talk, you don’t need to upload or host the video itself. Instead, follow these steps:

  1. Open your toolbox talk document: In the Safety Reports system, go to the toolbox talk that you want to add a video to.

  2. Insert the video link: Embed the video link into the text of the toolbox talk. You can use a simple hyperlink or the “Watch Video” graphic provided by Safety Reports to represent the video link. The graphic will serve as a clickable weblink.

  3. Save the document as a PDF: Once you've added the link, save the toolbox talk as a PDF. This ensures that the video link is embedded properly within the document.

Step 2: Video Link Considerations

  • External video hosting: The video itself must be hosted on an external platform, such as YouTube or the Department of Labor’s website. These platforms are widely accessible and ensure the video can be played without issues in the app.

  • Mobile app behavior: When employees access the toolbox talk through the mobile app, clicking the video link will launch a browser window. This allows them to watch the video, provided they have an internet connection.

  • Offline limitations: If a user is in offline mode, the video link will not function. However, all other content in the toolbox talk (not related to the video) will still be accessible.

  • Firewall considerations: If the video is hosted behind a firewall or on a restricted network, the app will not be able to access the link, and the video will not play.

Step 3: Best Practices for Viewing Video

Although not a requirement, following these best practices will ensure the video can be easily viewed:

  • Device screen size: Ensure that the device being used to view the video has a screen large enough to display the video clearly.

  • Audio considerations: The device should also have a functioning speaker so that users can hear the audio accompanying the video.

Remember that the video must be hosted externally, and users will need an internet connection to access it.
