In this article we will go over the functions of the JSA module on the admin side. This will allow you to understand what each option is used for and how it may benefit you.
JSA: Job Safety Analysis or JHA Job Hazard Analysis
A JSA is a document that is built to pinpoint hazards and then list the things that you can do to control those hazards.
A JSA can be built in three different places, JSA Maintenance, JSA Bank Maintenance, and in the JSA Module on the All in One App.
JSA Maintenance:
This allows you to view the history of any JSA submitted by any person. It will have a complete history of any time somebody has selected and/or submitted a JSA from the mobile app or the web.
This is also where you will create a JSA for a specific individual.
It will always default to loading by the most recent date, but you do have the ability to customize how it's viewed and you can search the available JSAs.
Additionally, it can be viewed by individual users by selecting their name at the top, under JSA Author.
JSA Bank Maintenance:
Job Maint:
You can create a bank of JSAs, which is essentially a collection of various JSAs. When you make a JSA here, it creates a bank that is available to everyone in the mobile app and/or webapp to pull from
JSA Groups:
This is an organizational tool used to group JSAs that need to be listed in the bank together.
For example: If you have a set of JSAs that go together you can group them here. If your group has multiple teams that will utilize different JSAs this is where you can group them i.e. construction, paving, drywall, etc.
Import JSAs:
Additionally, you can import a JSA to the Bank from any JSA that is created in the SR System by any author.
This is only used to import existing JSAs within the SR platform.
For example: a JSA that was created under JSA maintenance or a JSA created on the mobile app can be imported into the JSA bank but cannot be imported from outside of the SR platform.
All JSAs that have been created and imported can be viewed from the bank by all employees. Whichever state the JSA is in when it is imported will remain in that state when it is imported.
For example: If it is 80% completed upon import it will remain as 80% complete when it is in the bank. This allows the author to complete only the 20% that is still remaining and submit it.
JSA Account settings:
You have the ability to customize what your JSA authors can and cannot do under the JSA account settings.
The options you can elect are:
Allow custom Hazards to be added - This allows you or an author to create and add custom Hazards to a JSA (for an author only on the mobile app)
Allow Custom Controls to be added - Similar to the above it allows you or an author to add a custom control (for an author only on the mobile app)
Require approvals - Essentially in JSA, you have the ability to require approval. This allows you to have different author levels.
There are three different author Levels and these are only available if the Required approvals box is checked:
Full Author: Full user who has the ability to create a JSA at any time from start to finish and then submit it.
Requires Approval: They will require someone to approve the JSA prior to submitting it
Limited Author: Limited author They will only have access to JSAs specifically created for them or an existing JSA from the job bank.
JSA User Maintenance:
JSA Allows two options for User types:
Author: The author of the JSA has user access in the mobile app. Basically the person who’s in charge of reviewing the JSA. They collect attendance, and submit the JSA. Under JSA authors you can have three levels of author. This is only an option when you enable this setting under JSA account settings.
Full author
Requires Approval
Limited Author
Attendee: This is just an employee profile built for the purposes of capturing attendance for an individual. We're not giving them access to anything else.
Import Users: Allows you to import users of another module to be authors of JSAs. This is dependent on the number of licenses purchased for JSAs.
User Groups: Allows you to group employees together.
JSA Hazards, Controls, Classification and PPE Maintenance tabs:
These tabs are primarily used for you to add in your own hazards, controls, and PPEs for a JSA. These can be specific to what you do day to day. Think of it as customization aside from the standard options we offer.
JSA Tasks:
JSA Tasks are the steps you need to take to complete the job that is captured in the JSA. These will be where your Hazards and controls are recorded.
A hazard has to have a control - the control is what you will do to minimize the hazard, and some hazards require specific PPE in addition to the control.
JSA classification allows you to label specific JSAs with a classification. Primarily to keep the JSA organized.
For example: Some can be Construction others can be Manufacturing.
JSA Chemical Maintenance:
We don't start you off with any chemicals, mostly due to the fact that chemicals can be labeled differently for every company so we ask that you add those in as you see fit.
For the chemical entry we need:
Chemical Name: The name you use for the chemical. Whether it's the scientific name or a shortened name your company recognizes.
Chemical Description: The description of the chemical that is used.
Chemical URL: A lot of folks already have a specific document on the chemical that is being used so you can upload the link to this document here and your team can review the document that is already created.
JSA Reporting:
Reporting is the same as it is on every module. Run the report based on what you'd like included.
