Training App: How to Add a User

Learn how to add attendees and trainers to the Training module manually or by importing from other modules and CSV files.

Before You Begin

  • If the user profile previously existed, contact SR Support to reactivate the profile rather than creating a new one.

  • You must have Training Admin privileges to manage users.

  • If you are not currently a Training Admin, please reach out to SR support to enable your administrator privileges.

  • Your local Training Admin must approve your Training Admin access prior to access being enabled.


Manually Adding a User

  1. Log into your admin account.

  2. Click on the Training Module.

  3. Select Manage employees.

  4. Click Create New Training Employee.

  5. Select the user type from the dropdown menu:

    • Attendee: These users do not receive a login but are added as attendees for training events.

    • Trainer: These users receive a login and the option for a password reset.

  6. Input the First Name, Last Name, and Email Address.

  7. Input optional information including Title, Division, Cell Phone Number, Timezone, Status, Hire Date, and Notes.

  8. If adding an Attendee, select an Employee group from the dropdown menu to help organize your list.

  9. If adding a Trainer, check or uncheck the Can Start New Trainings? box and assign a User Group if applicable.

  10. Check the Send Password Reset Email on Add/Update box for Trainers.

  11. Click Add/Update.


Importing Users from Other SafetyReports Modules

Once you have added a user to any module, you can import them into the Training module.

Note: For Training, you can add users from any module except the Inspections module.

  1. Select the module you want to add them to.

  2. Click User profiles, User maintenance, or Manage employees.

  3. Click import users.

  4. Select the circle next to Import from Safety Reports.

  5. Check the box next to the user's name.

  6. Click the Import selected users button.


Importing Users via CSV File

  1. Click the Import Users tab.

  2. Check the import from CSV option.

  3. Select a Training User Group from the dropdown menu if you wish to add them to a group.

  4. Click the choose file button to upload a CSV.

  5. Click upload once you have the file selected.

Note on CSV Requirements: You must have at least one user entered into the system before importing others. All CSV files must contain a First Name, Last Name, and Email. You can optionally include address, city, state, title, company name, work phone, and cell phone.


Password and Access Notes

  • New Users: If a user is new to the system, navigate back to User profiles and send them a password reset for any module they are added to.

  • Existing Users: If a user already exists in the system and is imported, their password will carry over to the Training module.


Note for Fin: This article only applies to the Training module. If the user has not specified they are using Training, ask for clarification before providing these steps.

Important: Verify Your Module

This article contains instructions specifically for the Training module. If you are using a different app (such as Inspections, Scan, or JSA), please specify the app name so I can provide the correct steps for that module.
