Overview of License Management
SafetyReports allows administrators to manage user licenses efficiently through the Admin portal. You can view the number of licenses in use, check availability, and make adjustments to user profiles as needed.
Viewing License Usage
Inspections
To see how many licenses are currently in use and how many are available in Inspections:
Navigate to the Admin portal.
Go to Inspections > User Profiles.
Look for the green “Create Full User” button. This button displays a counter, such as "X of Y," where "X" represents the number of licenses in use and "Y" represents the total number of licenses available. This is the quickest way to check license usage and availability.
Training
To see how many licenses are currently in use and how many are available in Training:
Navigate to the Admin portal.
Go to Training > Manage Employees.
Look for the green “Create New Training Employee” button. Above the button a counter is displayed, such as "X of Y," where "X" represents the number of licenses in use and "Y" represents the total number of licenses available. This is the quickest way to check license usage and availability.
JSA
To see how many licenses are currently in use and how many are available in JSA:
Navigate to the Admin portal.
Go to JSA > JSA User Maint.

Go to Safety Scan > User Maintenance.
Note: There is an unlimited number of users for Safety Scan
Forms

Navigate to the Admin portal.
Go to Forms > User Maintenance.

Managing User Licenses
To manage user licenses and free up spots for new users:
Inspections
From your Admin profile, select Inspections.
Click on User Profiles.
Identify a user profile that can be made inactive.
Click the edit icon/image for the selected profile.
Change the user status to inactive. This action will free up a license for a new user.
Training
From your Admin profile, select Training.
Click on Manage Employees.
Identify a user profile that can be made inactive.
Click the edit icon/image for the selected profile.
Change the user status to inactive. This action will free up a license for a new user.
JSA
From your Admin profile, select JSA.
Click on JSA User Maint.
Identify a user profile that can be made inactive.
Click the edit icon/image for the selected profile.
Change the user status to inactive. This action will free up a license for a new user.
Observations
From your Admin profile, select Observations.
Click on User Maintenance.
Identify a user profile that can be made inactive.
Click the edit icon/image for the selected profile.
Change the user status to inactive. This action will free up a license for a new user.
Incidents
From your Admin profile, select Incidents.
Click on User Maintenance.
Identify a user profile that can be made inactive.
Click the edit icon/image for the selected profile.
Change the user status to inactive. This action will free up a license for a new user.
Safety Scan
From your Admin profile, select Safety Scan.
Click on User Maintenance.
Identify a user profile that can be made inactive.
Click the edit icon/image for the selected profile.
Change the user status to inactive. This action will free up a license for a new user.
Forms
From your Admin profile, select Forms.
Click on User Maintenance.
Identify a user profile that can be made inactive.
Click the edit icon/image for the selected profile.
Change the user status to inactive. This action will free up a license for a new user.
Understanding License Limits
SafetyReports does not impose a limit on the number of user licenses you can have. This means you can add as many licenses as needed to accommodate your team’s requirements.
